Chapter One
Name, domicile, and purpose
§1 The association’s name is Pelletti ry, and its domicile is Lappeenranta.
§2 The association is a subject organization, referred to in these rules as the guild. The purpose of
the guild is to:
- Unite students of environmental engineering at LUT University (Lappeenranta-Lahti University of
Technology, later LUT University). - Raise and maintain interest in professional and societal matters.
- Promote the common interests of its members together with the LUT University Student Union
and other LUT University guilds. - Maintain contacts with graduates of LUT University’s environmental engineering program.
§3 To fulfill its purpose, the guild shall:
- Organize meetings, parties, excursions, discussions, and other similar events for its members.
- Manage the guild’s communications.
- Help new members become familiar with the university.
- Support members with problems encountered during their studies.
- Maintain contact with clubs and associations pursuing similar goals.
- Have the right to make commitments in its name, own property related to its activities, receive
donations and bequests, and collect funds with appropriate permission.
§4 The official language of the guild is Finnish.
Chapter Two
Members and fees
§5 The guild’s members are regular members, honorary members, supporting members, and
sponsoring members.
§6 A regular member may be anyone studying environmental engineering at LUT University and
who is a member of the LUT Student Union. Additionally, a person interested in environmental
technology may become a member upon written application and approval by the guild’s board.
Regular members remain so until the end of the calendar year of their graduation.
§7 Supporting members may be individuals or organizations interested in the guild’s activities and
purpose, accepted by the guild’s board upon written application.
§8 Sponsoring members may be individuals or organizations interested in the guild’s activities and
purpose, accepted by the guild’s board upon written application.
§9 The guild’s general meeting and board meetings are attended by regular, honorary, supporting,
and sponsoring members.
§10 The guild may appoint as an honorary member a person who has significantly contributed to
the guild’s activities or promoted its goals, with approval by at least 2/3 of those present at a
meeting.
§11 Regular members must pay the joining fee and annual membership fee set by the guild’s
autumn meeting for one year at a time. Membership is valid for a calendar year.
§12 Supporting members must pay the annual supporting membership fee set by the guild’s
autumn meeting for one year at a time.
§13 Sponsoring members must pay the annual sponsoring membership fee set by the guild’s
general meeting for one year at a time.
§14 Honorary members are not obliged to pay membership fees.
§15 Membership fees must be paid by the due date set by the guild’s board. If a member has not
paid the fee by the deadline, they may be considered resigned.
§16 The membership fee is determined annually by the guild’s general meeting.
§17 A member may resign by submitting a written notice to the board or its chairperson or orally at
a guild meeting, to be recorded in the minutes.
§18 A member who acts contrary to the guild’s purpose or causes damage to the guild may be
expelled by decision of the board. The next general meeting must decide on permanent expulsion.
Chapter Three
Administration
§19 The guild’s decision-making power is exercised by the general meeting and the board elected
by the autumn meeting.
§20 The guild’s signatory rights are held by the chairperson, the treasurer, and persons separately
authorized by the board, each individually.
Chapter Four
Guild meeting
§21 The guild’s general meetings are the autumn meeting, spring meeting, and extraordinary
meetings.
§22 A meeting notice stating the time, place, and agenda must be posted at least seven (7) days in
advance on the guild’s notice board.
§23 Participation in meetings may also be possible via telecommunication or other technical
means.
§24 Only regular members have the right to vote. Other members may attend and speak but not
vote.
§25 The meeting elects a chair, a secretary, two minute-checkers, and two vote counters.
§26 Guilds meetings
1) The autumn meeting (October–November) must at least:
- Confirm quorum.
- Elect the guild’s chairperson.
- Elect other board members.
- Elect auditors and their deputies.
- Set the membership fees.
- Approve the next year’s action plan and budget.
2) The spring meeting (February–March) must at least:
- Confirm quorum.
- Review and approve the previous year’s annual report and financial statement.
- Review auditors’ reports.
- Decide on discharge from liability.
§27 Decisions are made by simple majority. In case of a tie, the chair has the casting vote.
§28 If requested, an issue may be postponed until the next meeting.
Chapter Five
Board
§29 The autumn meeting elects the board, consisting of 5–11 members including the chairperson.
§30 The board’s duties are to:
- Manage the guild’s affairs.
- Convene meetings.
- Prepare matters for meetings and implement decisions.
- Oversee administration and compliance with rules.
- Manage property and finances.
- Appoint committees and officers.
- Supervise committees’ work.
- Draft an annual report and financial statement.
- Prepare the budget and action plan.
- Decide on representation of the guild.
- Maintain the membership register.
§31 The chairperson’s duties are to:
- Represent the guild unless otherwise decided.
- Convene and chair board meetings.
- Present matters to meetings unless otherwise decided.
- If absent, the vice-chairperson assumes the duties.
§32 The autumn meeting elects the board chairperson and members for one calendar year.
§33 The board must enjoy the trust of the members. A board member may be dismissed mid-term
by decision of the general meeting if they lose trust.
§34 The board meeting is quorate when more than half the members are present. Decisions are
made by simple majority.
§35 Board meetings may also be held electronically.
Chapter Six
Committees and officers
§36 The board may appoint committees to assist it.
§37 Officers include board members, committee members, and other persons appointed by the
board.
§38 Officers are appointed for one year at a time.
Chapter Seven
Finance
§39 The financial and operational year is the calendar year.
§40 Auditors monitor finances. Accounts must be submitted to them at least 31 days before the
annual meeting.
§41 Auditor’s report must be delivered to the board at least 14 days before the annual meeting.
Chapter Eight
Insignia regulations
§42 Guild emblem:
- The emblem of Pelletti ry is a gear with a tree inside it bearing the word “Pelletti”. The tree grows
from the ground marked with “LUT”. The emblem’s size is free, but width/height proportions must
not change. - Use of the emblem is decided by the board.
§43 Guild ribbon:
The ribbon includes LUT Student Union’s colors: gray, silver, red, and black stripes. Width 35 mm.
§44 Ribbon usage:
- Worn at academic ceremonies and when representing the guild.
- Worn over the right shoulder to the left hip.
- The gray stripe is on top.
- Worn together with LUT Student Union ribbon if permitted.
- Nothing else may be attached unless otherwise specified.
§45 Guild pin:
- Without text, only Pelletti and LUT initials. Diameter 12 mm.
- Board members’ pin is silver; members’ pin is bronze.
§46 Pin usage:
- Worn at academic ceremonies and representation.
- Worn on the left side of the chest.
§47 Honorary member’s badge:
- A special badge for honorary members.
- Valid for life unless revoked by decision of the board and meeting.
§48 Guild’s medal of merit:
Official medal without text, diameter 25 mm, three levels: gold, silver, bronze.
§49 Usage:
Worn like an academic decoration. On the left chest or ribbon. Valid for life.
§50 Awarding:
Decided by the board. Cannot be awarded to current board members.
Award criteria:
- Gold: long-term exceptional contribution to the guild and student community.
- Silver: significant activity for the guild.
- Bronze: notable contributions for the guild.
§51 Awarding ceremony:
If possible, given at Pelletti’s annual ball
Chapter Nine
Special provisions
§52 Dissolution of the association must be decided in two meetings held at least one month apart
with ¾ majority. Remaining assets go to LUT University environmental engineering studies.
§53 Amendments to rules require two consecutive meetings with ¾ majority.
§54 Otherwise, the provisions of the Associations Act apply.
§55 The meeting decides on use of the notice board.
